The Guest Check-in feature is currently being expanded, so it may not yet be available in every country. If you cannot find your country's authority when you configure the feature, it is not yet available for your property. You can still use the Holidu Help Center and contact Holidu support to ask about upcoming availability.
What is the Online Check-in feature?
The Online Check-in feature (also called Advanced Check-in) in your Holidu account sends your guests a secure online form after they book. Guests use the form to provide the information required by local regulations. Holidu then handles the collection and transfer of that data, so you no longer need to enter it manually into government systems.
Why do you need to do this?
In many countries, including Spain, Italy, Portugal, Germany and others, hosts are legally required to collect guest information and submit it to local authorities shortly after check-in. These rules support security, traceability and compliance with local law. Failing to comply can lead to penalties or fines. Using the Online Check-in feature helps you stay compliant with minimal effort.
How do you benefit from the automatic transfer?
Once the feature is configured, Holidu sends guest data to the correct authority automatically. Your main benefits are:
- Legal compliance with minimal effort
- Automatic guest data transfer to the correct authority
- A digital guestbook you can download at any time for inspections
- Built-in reminders and guest communication
- Free of charge for Holidu hosts
- Secure, privacy-compliant handling of sensitive guest data
How to set up the Online Check-in feature
Before you activate the feature in Holidu, register your accommodation with the relevant local authority in your country. Once you have your credentials, follow the setup guide to configure the feature in your account.

What to do if your connection stops working
If your connection to the authority stops working, the most common causes are changed or expired credentials. Expired passwords can cause a failed data transfer. To resolve this:
- Open the "Account" section in your Holidu account and check the connection status.
- Log in to your authority's portal to confirm your username and password still work.
- Update your credentials in the Online Check-in settings in Holidu.
- If the connection still fails, contact Holidu support.
How to connect Ricestat to your Chekin.io account
If you use Ricestat or Chekin.io to manage your guest registrations, connect them through the Online Check-in settings in your Holidu account. Use the credentials you received from your provider and select the option that matches your setup. If you cannot find Ricestat or Chekin.io in the list of available options, the integration is not yet available for your country. Contact Holidu support for an update on availability.
Troubleshooting: incorrect credentials for Ricestat
If Holidu reports incorrect credentials for Ricestat, check the following:
- Make sure the username and password match the ones you use to log in to your Ricestat account.
- Check for extra spaces or typing errors, and note that passwords are case-sensitive.
- Confirm that your Ricestat account is active and not locked or expired.
- After correcting the details, update them in your Holidu Online Check-in settings and check the connection status in the "Account" section.
If the error continues, contact Holidu support so we can review your connection.
How does it work for the guests?
Once setup is complete, guests follow these steps:
- After booking, the guest receives an email or message with a link to a secure online check-in form.
- The guest fills in the details for every traveller, including scanning a passport or ID document. Each traveller in the group must complete the form.
- The data is submitted securely and stored in the system.
- If a guest does not complete the form, automatic reminders are sent. If the form is still incomplete, you can fill in the data on the guest's behalf. </
